This privacy notice provides information how the organisations that are a part of the FINSCAPES project will collect, use, disclose and store your personal data as joint controllers in accordance with Articles 13, 14 and 26 of the General Data Protection Regulation of the European Parliament and of the Council. Contact details are at the end of this notice. Your participation in the study is voluntary and you can withdraw from the study at any point in time.

Legal basis for processing personal data
We process your personal data in order to perform a task in the public interest (scientific research) and to exercise public authority belonging to Syke, in accordance with the EU’s General Data Protection Regulation (GDPR), Article 6 Subsection 1(e) and Data Protection Act (1050/2018) Section 4 Subsection 2 Section 3).
Purpose and funding of the research
The FINSCAPES (Finnish scenarios for climate change research addressing policies, regions and integrated systems[CT1] ) project, co-ordinated by Syke, is funded by the Research Council of Finland (Decision number 341977). Its goal is to support climate change research and Finnish decision-making by creating integrated scenarios that describe alternative development trajectories of society, the economy and climate during this century. The project partners are the Finnish Meteorological Institute (FMI) and the Natural Resources Institute Finland (Luke).
Personal data collection
We use personal data in the FINSCAPES project for the development of regional scenarios. The material collected in the project will be used in scientific research as part of the project's analyses. The information can also be used for communication, such as sending electronic bulletins and informing about events and project results. Based on the personal data collected, decisions based on automatic decision-making and profiling are not made.
Recipients of personal data
All data, including personal data, will be stored by one or more of the research partners on their institutional password-secured server, where only authorised project members have access to the data. All partners of the project are entitled to use the data. Moreover, personal data may be available to third-parties additional to FINSCAPES partners, such as facilitation or transcription service providers, for the sole purpose of assisting in the collection and transcription of the data. All partners that process personal data have taken technical and organisational measures necessary to protect personal data and require these measures from all the service providers used.
Purpose of data storage, processing and use
Personal data collected in the study include: first name, last name, e-mail, telephone number, organization, professional title, diet, audio and/or video recording, photographs, survey answers, and workshop and interview notes. These data are used for scientific purposes only. For the analysis of the data collected and for the purpose of data storage in public repositories of scientific data, the data will be treated as follows. Names, professional titles of the participants, email addresses, voice and video will not be made public, and it will thus not be possible to connect them to the rest of the data. The analysis of the aggregated data will be published in scientific articles and other reports, which will be publicly available. Voice and video material collected through the interviews will be deleted after the analysis of the data is completed.
Protection of personal data
The Finnish Environment Institute, as the data controller, has implemented the necessary technical and organizational measures, and also requires them from partner organisations (Finnish Meteorological Institute and Natural Resources Institute Finland) and from third party services used in the FINSCAPES project. The material collected in the project is stored in protected and monitored facilities and information systems. The information in the register is protected from unauthorized viewing, modification and disposal. Protection is based on access control, personal user IDs and limitation of access rights. The rights to view and change data are limited according to the tasks of the personnel. Non-loss of data is ensured by backups and physical security procedures.
Storage of personal data
Personal data is stored for the necessary time so that Syke and partner organisations can fulfil the processing purposes described in this notice. The material is anonymized, i.e. all personal data is deleted immediately after the purpose of use ceases. According to the archiving plan, the data will be deleted ten years after the end of the project.
The rights of the study participant
In this notice we aim to provide a comprehensive overview of the use of personal data in the FINSCAPES project. If any part of our data processing remains unclear, you can ask for clarification by emailing the contact person or the data protection officer at Syke.
Under the GDPR you have the right to:
- know for what purposes and in what ways we process your personal data
- obtain a copy of the personal data processed
- withdraw your consent at any time
- ask us to correct any inaccurate or incorrect information of your personal data we process (if we rectify information based on your request, we are obliged, as far as possible, to inform all those to whom the information was previously disclosed of the rectification)
- have your personal data deleted and restrict the processing of your personal data
- request the transfer of your data to another controller
- lodge a complaint with the supervisory authority, the Data Protection Ombudsman (see more: tietosuoja.fi).
