Privacy notice on the processing of personal data for the RESPIN project

You are taking part in the research project to REinforce Science-Policy interfaces in innovative ways to boost effectiveness and INterconnectedness of biodiversity and climate policies (RESPIN). This privacy notice provides information how the organizations that are a part of the project will collect, use, disclose and store your personal data as joint controllers in accordance with Articles 13, 14 and 26 of the General Data Protection Regulation of the European Parliament and of the Council. Contact details are at the end of this notice. Your participation in the study is voluntary and you can withdraw from the study at any point in time.

Legal basis for processing personal data

In accordance with the EU’s General Data Protection Regulation (GDPR), the processing of personal data is based on the consent (Article 6(1)(a)).

Purpose and funding of the research

RESPIN project (Project No. 101135490) is funded by the European Commission Horizon Europe programme. The RESPIN project aims to assess experiences and guide nations towards the development of science-policy interfaces. The project’s overall mission is to empower knowledge holders and decision-makers to bridge regional, systemic, and stakeholder gaps. In addition to new science-policy interfaces, the project aims to establish online capacity building, and strategic partnerships to enhance integrated processes at global, national, and subnational levels

Personal data collection

The personal data is collected by means of an online survey and from the websites of the respondents’ organisations. The personal data collected include the following identifiers: names of the participants and their professional titles, organisation or place of work known, email address. If the survey is administered to you through a videocall (interview), you will be informed by the interviewee that the process will be video/audio recorded and thus identifiers also include voice and video.

Recipients and protection of personal data

All data, including personal data, will be stored by one or more of the research partners on their institutional password-secured server, where only authorised project members have access to the data. All partners of the project are entitled to use the data. Moreover, personal data may be available to third-parties additional to RESPIN partners, such as the platform through which the survey is administered, transcription service providers) for the sole purpose of assisting in the collection and transcription of the data. All partners that process personal data have taken technical and organisational measures necessary to protect personal data and require these measures from all the service providers used.

Purpose of data storage, processing and use

Collected data is used for scientific purposes only. For the analysis of the data collected and for the purpose of data storage in public repositories of scientific data, the data will be treated as follows. Names, professional titles of the participants, email addresses, voice and video will not be made public, and it will thus not be possible to reconduct them to the rest of the data; the name of the organization or place of work of the respondent will however remain visible and attached to the rest of the publicly available data, which include open- and close- ended questions about personal opinions. The analysis of the aggregated data will be published in scientific articles and other reports, which will be publicly available. Voice and video material collected through the interviews will be deleted after the analysis of the data is completed.

The rights of the study participant

In accordance with Article 6(1) of the EU General Data Protection Regulation we process your personal data based on your consent. Participation in this study is voluntary. Should you discontinue your participation, you will not be subject to any negative consequences, but information gathered from you up until the point of cessation of your participation may be used in the study according to this Privacy Notice and the applicable data protection legislation. According to the General Data Protection Regulation (GDPR), you have the right to: know for what purposes and in what ways we process your personal data; obtain a copy of the personal data processed; withdraw your consent at any time; ask us to correct the inaccurate or incorrect information of your personal data we process. If we rectify information based on your request, we are obliged, as far as possible, to inform all those to whom the information was previously disclosed of the rectification; have your personal data deleted and to restrict the processing of your personal data; request the transfer of your data to another controller; lodge a complaint with the supervisory authority, the Data Protection Ombudsman (see more: tietosuoja.fi).
